Simple explanations of words you'll see around the system.

WordWhat it means
Access rightPermission to do one particular thing in the system.
AllowanceAn extra payment on top of basic salary, such as travel or meal allowance.
Audit LogA record of who did what and when.
Basic salaryAn employee's normal pay, before extras and deductions.
BonusA one-off extra payment, such as a festive or performance bonus.
ClaimA request to be paid back for money a staff member spent for work.
CommissionPay based on sales or targets.
ContributionMoney paid towards EPF, SOCSO or EIS by the employee and/or employer.
CP38Extra tax instalment deductions ordered by the tax authority.
CP39 / CP39AThe monthly report of tax (PCB) deducted from staff.
DeductionAn amount taken off an employee's pay.
EA FormThe yearly statement of pay and tax given to each employee for their own tax filing.
EISEmployment Insurance System — helps workers who lose their jobs.
EntitlementThe number of leave days an employee is allowed.
EPF (KWSP)Employees Provident Fund — retirement savings.
Gross payTotal pay before deductions.
HRDFA training levy some employers must pay.
Net payThe final take-home amount after all deductions.
OverrideManually setting a specific amount instead of letting the system calculate it.
Payroll itemAnything that adds to or subtracts from pay for a period.
Payroll runOne round of calculating pay for a period.
PayslipThe pay statement an employee receives.
PCB / MTDMonthly Tax Deduction — income tax taken from pay each month.
Public holidayAn official day off recognised by the system.
PunchA single clock-in or clock-out record.
RoleA named bundle of access rights given to a user.
ShiftA working pattern, such as 9am to 6pm.
SOCSO (PERKESO)Social Security Organisation — covers work injuries and certain illnesses.
StatutoryRequired by law — for example, statutory contributions like EPF and SOCSO.
TP-3A form showing an employee's pay and tax from a previous employer in the same year.
